WhatsApp
Invoices, receipts and updates from your company number.
Link your company WhatsApp number once and let the system message customers at the moments that matter: invoice confirmed, payment received, credit note issued, visit scheduled, overdue reminder, dispatched, delivered. Verified numbers only, paced sends, daily caps and circuit breakers keep the number safe.

How it runs, start to finish
Built for
- Distributors whose customers already live on WhatsApp
- Teams tired of reps forwarding invoice PDFs from personal phones
- Companies that want billing reminders to go out on time, every time
- 1
Link the company number
The Super Admin scans a QR code or enters a pairing code from Settings. The number stays the company’s.
- 2
Verify customer numbers
Numbers are checked before anything is sent; the customer page shows a green or amber mark.
- 3
Switch on the events
Pick which business events send a message and edit the template for each, with a “send me a preview” test.
- 4
Messages queue themselves
An invoice is confirmed, a payment lands, a trip is dispatched — the message is written and queued without anyone typing.
- 5
They go out safely
Paced per number, within daily caps, with a warm-up ramp for a fresh number and a breaker that pauses on repeated failures.
- 6
Customers can opt out
A STOP reply — in English or Arabic — opts the number out tenant-wide.
What you get
Everything below is live in the product today.
Company number linking
QR or pairing code, done once by the Super Admin from Settings ▸ WhatsApp.
Verified numbers only
Nothing is sent to an unverified number; pending numbers are verified first and sends wait for a reconnect rather than fail.
Event notifications
Invoice confirmed, payment received, credit note issued, visit scheduled, overdue-invoice sweep — and dispatched/delivered with Delivery. Each one opt-in.
Template editor
Built-in defaults you can override, with clickable fields and a live preview.
Daily sales summary
Each BD rep gets their day’s sales at a set time; a summary is never sent late.
Message classes
Billing and notification messages are exempt from quiet hours; promotional classes respect them.
Pacing, warm-up and caps
Sends are spaced out, a new number ramps up gradually, and daily caps apply per number.
Circuit breakers
Repeated failures pause the number and raise a critical alert, so a problem never turns into a block.
STOP opt-out
Tenant-wide opt-out on a STOP reply, Arabic keywords included.
Numbers stored correctly
Customer numbers are saved with their country code so every send resolves to the right person.
Roles and seats
Your Super Admin switches the module on and decides who holds each duty. Only the roles marked “seat” count against what you buy — back-office duties are free.
Super Admin
FreeLinks the company number, chooses the events and edits the templates. The flat fee covers the company number.
Everyone else
FreeNothing to do — messages are triggered by the documents and events your team already creates.
Web for the office, mobile for the field
The module lands inside the same OrbisField apps your team already signs in to — no second product, no second login.
Web dashboard
- Settings ▸ WhatsApp: linking, verified numbers, event rules, templates, send log
Mobile app
- A WhatsApp button on the customer visit for the BD rep
How WhatsApp connects
Every module shares the same customers, products and stock ledger, so switching one on never means re-entering data in another.
